: World Health Organization has
conducted a survey in UP and Bihar to find out the no. of children
who are below 5 years and are not vaccinated for the prevention
of Polio disease. This is an ongoing hardcopy project and we
have to do data entry and indexing of forms category wise. We
are required to find out the ratio of children vaccinated or
not and are below the age of 5 years. |

: We have developed a software for
data entry and verification .We have index forms under 3 categories
: Children below 2 years, Between 2 to 5 years and No. of houses
having children below 5 years (not vaccinated as a whole) to
find the ratio of children vaccinated or not and are below the
age of 5 years. |

: This is an Ongoing Microfiche Data
Processing Project and we have to do data entry of Uniform Commercial
Code (UCC) which is a notification system of a transaction between
a secured party and Debtor. The secured collateral has to be
entered on a UCC form . The rules and the UCC formats are different
for different USA states . We are provided with the list of states
and their rules by our client . |

: We get data in the form of microfilms
or tiff images .We process them and load batches. Once entry
and verify is complete we start the process of quality checking
. During the process of QC , we check all the specifications
specified by the client. Once we are satisfied data is dispatched
in the format specified by the client |

: This was a Microfiche Digitization
Project. We were required to do data entry and indexing of approx.
one lakh (1,00,000) pages of Chemical Water Analyses Information,
contained on microfiche cards which was to be supplied by our
client. We were also required to develop a software of data entry
as per the requirements specified by the client such as to key
all alpha numeric data as it is and numeric data was to be entered
twice to ensure higher accuracy. |

We got data in the form of microfiche cards (containing more
than 20 images in 1 card). After image processing, data was entered,
verified and checked for quality and finally was dispatched in

Where we digitized all the judgment statements between 1950 and
1994. Confidentiality and security of data was ensured to the
fullest. Input was in the form of scanned images - around 15
million in numbers, and output was in the form of text file. |

| The Challenge : The Indian Passport Office was
flooded with index cards over 50 million accumulated over 10
years and spread out over 28 cities .The passport needs access
to these documents instantly and they needed us to scan and index
them. The accuracy of the data , the ability to handle huge volumes
, maintaining confidentiality of data without leaving the government
premises were the main consideration in awarding the contract. |

: IDES with its specialized team was
selected for this sensitive and prestigious project from amongst
a host of other Indian companies. IDES has established scanning
data centers in passport office premises. After scanning and
image processing , the images are dispatched to IDES 's Delhi
office on CD's. A separate office for handling this information
manages the whole project. The images are indexed through a process
of entry and verification using proprietary software. Stringent
quality control and inspection processes ensure high quality
of data. The data is output in the format as required by NIC
for loading into their systems. |

| The Task: NICSI in association with Ministry Of
External Affairs wanted to digitize the data of passport application
form in various passport offices throughout India. Main challenge
was bulk scanning and digitization of data in minimum required
time along with maintaining security of the documents. The purpose
was to develop database of passport application data of various
states, which could be easily used by different users in passport
offices and later could be converted in web based applications. |

| The Solution: In step-by-step discussion with NICSI
we developed the methodology for implementation of project which
includes both onsite and offsite activities. Together we reached
to the conclusion that scanning would be done onsite to ensure
the security of data and documents, for this high speed Kodak
scanners were installed at different passport offices at all
the locations specified by NICSI. Passport Application Forms
were scanned in these offices and images were stored in Hard
Disks as well as CD's. |

| For processing and retrieval of data and images,
software was developed at our end. With the help of this software
images as well as data of any passport holder can be searched,
where search can be based on different criteria like Passport
Application Number, Date Of Application, Name Of Applicant etc. |

| Data was finally entered and verified at various
data centers of our company located in Delhi. We came to the
decision of offsite data entry because this was the best way
to organize the trained manpower at one space in limited time
to meet the client requirements. CD's from different passport
offices were sent to these data centers where data was processed
and then again packed in CD's and sent back to respective Passport
offices. And we also kept a backup of this data for further reference
purpose. |

| An effective reporting system was established and
maintained at our end to provide the status of work at any or
all the passport offices at any given instance. |

are self explanatory, such as fast and easy access to Passport
Application Data, safety and longevity of data etc. The best
advantage for Passport offices is fast retrieval of application
files with the help of retrieval software, which otherwise would
have been a tedious and time taking job while searching them
manually from record rooms. |
